MINUTES OF SPECIAL MEETING OF AD-HOC COMMITTEE

HELD ON 22ND JUNE 2017

  1. Reference Distt Registrar, Firm & Societies Memo No 5970-79 dated 15 Jun 2017, DRFS/Pkl/6003 dated 19 Jun 2017 and Bye-Laws of Sandeep Vihar (AWHO), Welfare & Maintenance Society (GHS-79).

Attendance

  1. A Special Meeting of the Ad-hoc Committee was held on 22nd June 2017 which was attended by all the 5 (five) members.

Agenda

  1. (a) To deliberate on issue of operation of Society’s bank account: and

(b)        To decide appointment of Returning Officer(s) for conduct of Election to the             Managing Committee.

  1. Col V K Seth, VSM (Convener) read out the contents of Memo No. DRFS/PKL/6003 dated 19 Jun 2017 and apprised the members that there is mandatory requirement to discuss/decide the aforesaid agenda items so that Society’s day to day affairs may be run smoothly and District Registrar’s directions be complied with in letter and spirit.  Therefore, all members of the Ad-hoc Committee after discussing the issue elaborately, unanimously resolved that:

(a)        Henceforth, Society’s Bank Accounts shall be jointly operated by Col V K Seth,             VSM; and Sub Maj (H/Capt) G C Bhatt.

(b)        Election to the Managing Committee of GHS-79 for the term 2017-20 shall be held                                     as per the following schedule so that election process is completed well within the time                                     frame as fixed by the District Registrar:-

(i)         Announcement of Elections                              -30th June 2017

(ii)        Last date for receipt of Nomination with           -22rd July 2017 (1300 hrs)

Returning Officer (s)

(iii)       Last date for lodging objections and                  -29 July 2017 (1300 hrs)

withdrawal of Nomination

(iv)       Voting at Society Premises (in person)  –           13 August 2017 (Sunday)

(9 AM to 4 PM)

(v)        Counting of Votes and declaration of    –           13 August 2017 (Sunday)

Results

(c)        List of Members shall be displayed on Central Notice Board/put on net by 29th June 2017.

(d)        Col K S Bajwa, Col NPS Mann and Col Surjit Singh Baweja (Member of Ad-hoc             Management Committee) have been appointed as Returning Officer(s) for the conduct of        said Elections as per Society Bye-Laws and HRRS Act, 2012 (as amended).

  1. There being no other point for discussion and hence the Meeting ended with a vote of thanks to the Chair.
